Inspect and prepare the document
A private link can be opened by anyone who has it until it expires or is revoked. Quotation links close when agreed content is edited; review the new quotation and create a fresh link. Invoice links show the latest invoice and recorded receipts.
- Open the intended quotation or invoice and verify its client, version, amount and recipient.
- Choose Download PDF to inspect the exact document.
- Choose Create link to make a private document URL; use Copy link or Share to give that URL to the client.
Send on WhatsApp without duplicates
A queued or uncertain message is not proof of delivery, and repeating a send can create duplicates. The Send button remains unavailable while a send is in progress or already sent.
- Check Sending from and any blocked reason in Send and share document.
- Choose Send on WhatsApp only when the sender is ready and the document and recipient are correct.
- Read Queued, Preparing, Sending, Sent, Delivered or Read status. If the state is Awaiting delivery confirmation, choose Refresh sending status before trying another send.
- If the send is blocked, fix the sender, template or recipient problem first.
Stop an old private link
Revoking a private link does not cancel an invoice, reverse a payment or recall a PDF already downloaded by the recipient.
- Open Private link options on the document.
- Choose Revoke existing links and wait for confirmation.
- Create and send a new link only after reviewing the document again.
