Record a payment from a booking
Capture a client advance or final payment while looking at the job.
Record money received
Only record money that was actually received. A quotation approval or scheduled milestone is not a receipt.
- Open the booking and switch to Money, or choose Manage payments from Overview.
- Select Record payment.
- Enter the amount actually received, method and date, then save.
- Check Paid and Balance on the booking and its linked invoice.
Plan installments without claiming they were paid
Set up 30/60/10 creates a proposed payment schedule, not three received payments. A due date and a received date answer different questions.
- On the booking Money tab, choose Set up 30/60/10 when the booking has a positive amount and no payment milestones yet.
- Review the prefilled amounts and dates; edit them to match the client agreement before saving the schedule.
- When the client actually pays an installment, use that milestone’s Record Payment action, check the prefilled remaining amount, method and payment date, then confirm.
- Reopen Money and verify the receipt, paid amount and balance before recording another installment.
Understand delivery access
In the booking Photos area, Review payment & delivery access opens the Money tab. Check the current balance, milestone state and any delivery policy before telling a client that downloads are available. Recording a receipt does not replace the gallery’s independent download permissions.
If save shows a recovery warning
Reopen the booking payment list and check whether the receipt exists before submitting again. If the receipt is wrong, use the payment correction action rather than creating a second offsetting entry.
