# How to edit an existing record in each module

Find the correct Edit action for an enquiry, client, booking, quotation, invoice, expense, team member or studio profile.

## The shared editing pattern

First open the record you mean to change. On list cards and detail headers, the compact actions menu may contain Edit. Some records instead show a clearly named Edit icon beside the field or section. Make the correction in that record’s form, choose Save and check the read-only view. Cancel closes the current draft. If you see an unsaved-change warning, decide whether to keep editing or discard the draft.

1. Search the module by name, number or other known identifier.
2. Confirm identity and status before choosing Edit.
3. Change only the fields that belong to this record.
4. Save once; wait for the result and reopen the record if the response was interrupted.

## Sales records

Enquiry: open Enquiries, choose the lead, use its top actions menu → Edit for core details. Functions, follow-ups and the linked booking schedule have separate controls in their own sections. A converted or lost state can restrict some fields. Client: open Clients, choose the person, use Edit for contact details; use the Archived clients view and Restore for an archived contact. Quotation: open Quotations, choose the offer and its version, then Edit when the status permits. Review the revised PDF before sending it again. Catalogue package changes do not rewrite a saved quotation.

1. For a different event for an existing client, create a new enquiry or booking under that client.
2. For a changed agreed price, review both quotation and booking/invoice rather than editing a single display amount.

## Production records

Booking: open Bookings, choose the job and use Edit booking in the header for the booking details. Use Schedule for shoot dates and functions, Money for receipts and expenses, and Team for assignments and payouts. A booking connected to an enquiry should be edited here once its schedule is authoritative. Project: open Projects and choose the job; work in the tab that owns the change—Production, Team, Deliverables, Production files, Tasks, Notes or Gallery. Updating a stage does not move a file or mark a receipt paid.

1. Check the client, event and booking status before a date or crew change.
2. After saving a schedule change, review the calendar and any reminders or team conflicts.

## Finance and people records

Invoice: open Invoices, choose the document and use Edit when permitted; payment history is on its Payments tab. Expense: open Expenses and use the row actions menu → Edit; select the correct category, date and linked job. Team member: open Team and use the member actions menu → Edit for contact, roles and permitted office access. Studio profile: open Settings → Studio & branding and choose Edit from the top actions menu. My profile is separate and has its own Edit action.

1. Do not edit a receipt to imitate a refund. Record the money movement in the payment workflow.
2. Review an archived or disabled member’s access before attempting team sign-in.

## When Edit is missing or Save fails

A missing Edit action can mean the record status is locked, the account has read-only access, or the action lives in a child section. Check the record’s status and the owner-granted permissions; do not sign in as someone else. If a save fails, keep the entered values, use a visible Retry when offered, and check whether the previous save succeeded before submitting again. If two people change the same record, reopen it and reconcile the latest version instead of overwriting a colleague’s work.
